Tips for First-Timers

  • Your personal appearance is mandatory. Make sure to take a leave while you process your passport renewal.
  • Bring your complete requirements and photocopies of each for your convenience.
  • Only applicants are allowed to enter the Embassy. Due to the COVID-19 pandemic, temperatures will be checked, and those exhibiting symptoms may not be allowed to enter the premises.
  • Do not transact with fixers. Only transact with Embassy officials to avoid fraud and unnecessary charges from fixers and scammers.
  • Set up a Gmail account to be able to book an online appointment.
  • Additional slots are opened daily; make sure to check the Online Appointment System regularly.
  • Review all your details when scheduling your appointment. Ensure the email address you use is active so you may check important reminders and confirmation emails sent by the Embassy.

Requirements to Renew Your PH Passport in Kuala Lumpur

Make sure to bring all the necessary original and photocopy of your documents to make your passport renewal less hassle. List down the following requirements and have them ready before your scheduled appointment:

For adult applicants

Green and older passports renewal

  • Your personal appearance
  • Duly accomplished Renewal Regular Passport Application form (adult)
  • Original copy of your PSA Birth Certificate on Security Paper
  • Original copy of your PSA Marriage Contract on Security Paper (for married females)
  • Original and photocopy of any of these valid IDs:
    – Social Security System (SSS) or Government Service Insurance System (GSIS) ID
    – Unified Multi-purpose Identification Card (UMID)
    – Professional Regulatory Commission (PRC) ID
    – Land Transportation Office (LTO) Driver’s license
    – OWWA/ iDOLE card
    – COMELEC Voter’s 10 or COMELEC Voter’s Registration Record from the COMELEC Head or Regional Office
    – Philippine National Police Firearms License
    – Senior Citizen ID
    – Persons with Disabilities ID (PWD ID)

Machine Readable Passports (Maroon) renewal

  • Your personal appearance
  • Duly accomplished Renewal Regular Passport Application form (adult)
  • Original copy of your PSA Birth Certificate on Security Paper
  • Original copy of your PSA Marriage Contract on Security Paper (for married females)
  • Original and photocopy of any of these valid IDs:
    – SSS/GSIS ID

  • Annotated Marriage Contract to show court-ordered instruction/ annulment/divorce
  • Your Spouse’s Death Certificate

For Minor Applicants

  • Duly accomplished Regular Passport Application Form (Minor)
  • Personal appearance of minor applicant
  • Personal appearance of either parent or authorized adult companion
  • PSA Birth Certificate
  • Passport or valid government-issued ID of either parent
  • Current passport of minor applicant
  • School ID (if available)

Reminders and Steps to Renew Your Passport in Kuala Lumpur

Before Passport Renewal

  • Schedule an online appointment via this link.
  • Wear proper attire when going to the Embassy. Wearing jewelry and colored contact lenses are prohibited for the photo capturing part.
  • Likewise, wearing tops with plunging necklines, tube tops, sando, spaghetti-strapped tops are not allowed.
  • You can only access the Online Appointment System in Malaysia. It will show an Error 401 if the appointment system is not available in your location.
  • Only those with confirmed appointments are allowed to enter the Embassy.

During Passport Renewal

  • Go to the Consular Section of the Philippine Embassy on the ground floor.
  • Get your queue number.
  • Wait for your number to be called.
  • Go to Window 1 and submit the requirements for passport renewal.
  • Wait for your number to be called for payment.
  • Go to Window 3 to process your payment.
  • Wait for your number to be called for photo capturing and encoding.
  • Go to Door 5 for the final step.
  • Arrange your passport delivery via mail or courier. You may bring a prepaid/self-addressed envelope or arrange for a courier service.

After Passport Renewal

  • Expect your passports to arrive from Manila after 1 to 2 months from the date of your application.
  • You may check this Passport Finder link to see if your passport is ready for claiming.
  • Just enter your Service Number and Last Name, then click Submit.
  • You may personally claim your passport at the embassy if you do not have a prior delivery arrangement made.
  • Bring your official receipt when you personally claim your passport.
  • Immediate family members are only allowed to claim a passport on an applicant’s behalf.
  • Proper authorization is needed for immediate family members who will claim the passport
  • Passports of minor applicants (17 years old and below) can only be claimed by parents, adult siblings, or authorized representatives with a Special Power of Authority or
  • Affidavit of Support and Consent. Bring the following:
    – Minor applicant’s old passport
    – Parent’s passport
    – Official receipt
    – Minor applicant’s Birth Certificate
  • An authorized representative may also claim the passport, provided that the following requirements are brought:
    – Applicant’s old passport
    – Official receipt
    – Duly notarized authorization letter
    – ID/Passport of the authorized representative
  • Unclaimed passport after 6 months will be canceled. Make sure to check the Passport Finder regularly to know if your passport is ready for claiming.

Special Appointments for Urgent Passport Renewals

The Embassy opens urgent passport renewal slots for the following cases:

  • For people with ePassports that expired in 2020 or will be expiring until December 2021 with no confirmed appointment yet; and
  • For people with Malaysian visas expiring in 2020 or until December 2021 and whose passports have less than 18 months of validity at the time of the visa renewal, with no confirmed appointment yet.

Steps to register for a Special Appointment:

  • Register via this link.
  • Submit a copy of your electronic passport and a copy of your Special Pass or Visa via the same form.
  • Wait for your confirmation of appointment in your email.
  • Present your confirmation of appointment on the day of your appointment.

Note: Only eligible applicants are allowed to get special appointments for emergency passport renewal. For those who are not eligible, you may book through the Online Appointment System for your passport renewal.

Additional Notes Regarding Passport Renewal in Kuala Lumpur

  • You do not need to schedule an appointment when claiming your passports.
  • Those who need Assistance-to-Nationals services do not need to schedule an appointment.
  • People eligible for courtesy lanes (senior citizens, pregnant women, persons with disabilities, and minors aged 7 and below) do not need an appointment.
